At Mindkit, we’re committed to providing high-quality psychological services that are accessible and reliable. To ensure everyone receives the support they need, we operate within a structured framework that allows us to maintain consistent availability while managing our professional responsibilities effectively.
Booking and scheduling
How our booking system works
We operate on an appointment-based system to ensure dedicated time for each client. Once you receive a booking invitation, you’ll be prompted to create a secure client portal account where you can easily manage your appointments, access resources, and communicate with your psychologist.
Service delivery
All services are provided online via secure video and/or audio platforms. We may use specific third-party platforms that comply with relevant privacy and security guidelines. We are not responsible for any technical issues or security concerns arising from third-party platform providers.
Fees, pricing and payment terms
All services offered by Mindkit are booked via the online booking links available on this website or as otherwise arranged directly with us.
Pricing, service descriptions, appointment durations, delivery formats, and any applicable conditions (including after-hours availability) are displayed at the point of booking and form part of these Service Terms once a booking is confirmed. Services may include, but are not limited to, psychological assessment, therapy, coaching, and support services.
Unless otherwise stated, all prices are quoted in Australian dollars (AUD) and are inclusive of Goods and Services Tax (GST), where applicable.
Payment is required in accordance with the terms presented at the time of booking. This may include upfront payment, deposits, or staged payments for certain services (such as assessments), as specified in the relevant booking link or individual service page.
Mindkit reserves the right to update pricing, fees, and service offerings from time to time. Any changes will apply only to future bookings and will be reflected in the booking links available on this website.

Payment terms
Payment is due on the day of service unless you’re using a third-party funder (such as NDIS, WorkCover, or EAP). For your convenience, our secure booking system (Halaxy) can store your payment details if you opt in. We do not store any card details on our own servers.
Why we require same-day payment: This approach allows us to focus entirely on your therapeutic needs during sessions, rather than administrative tasks, ensuring you receive our full attention and expertise.
Cancellations and rescheduling
Our cancellation policy
To avoid a cancellation fee, appointments must be cancelled or rescheduled at least 48 hours in advance (business days only). Business days don’t include weekends, public holidays, or periods when our administrative team is out of office. If you cancel during these times, we won’t see it until we return, and the standard fee will apply. While 48 business hours is our minimum requirement, we’d really appreciate 5 business days’ notice when possible, as we’re rarely able to fill sessions on short notice. All cancellations are automatically time-stamped through our booking system to ensure transparency.
Why we have this policy: Our 48-hour policy ensures we can offer your appointment slot to other clients who need support. This system allows us to maintain availability for everyone while respecting the time we’ve set aside specifically for your care. The reasonable notice period also allows us to manage our professional schedules effectively.
When we need to cancel or reschedule: Sometimes we may need to reschedule appointments due to unforeseen circumstances. In these cases, we will:
- Offer to reschedule at your earliest convenience
- Provide the option to convert to telehealth if appropriate
- Credit or refund any pre-paid amounts if rescheduling isn’t possible
- Never charge you a late-cancellation fee when we initiate the change
Reports and correspondence
Quality psychological reports require careful consideration, review, and professional attention to detail. We need time to allow us to provide thorough, accurate documentation that serves your needs effectively while maintaining our high professional standards.
Turnaround times
- Brief letters and summaries: 10 business days
- Comprehensive assessment reports: 4 weeks
- General correspondence: We aim to respond within 3 business days
Privacy and professional standards
Creating a safe environment
Our commitment to providing a safe and respectful environment extends to both our clients and our team. We maintain a zero-tolerance policy for any form of abuse or harassment. If inappropriate behavior occurs, we reserve the right to end the therapeutic relationship immediately, with no refund provided for the session.
Confidentiality
We adhere to strict professional confidentiality guidelines as outlined in our Privacy Policy. All sessions and communications are treated with the highest level of privacy and professional discretion.
Fairness and transparency
We believe in applying our policies consistently to ensure fairness for all clients. We are transparent about our policies and provide clear information and reminders to help you avoid any unexpected fees. Our booking system includes automated reminders about cancellation timeframes and other important policy information.
